A passport is an irreplaceable identity document. A careful mail-in workflow uses case-specific instructions, trackable shipping, documented handoffs and a verified return address from the moment the passport leaves the customer.

Remember: The Chinese Embassy in the U.S. does not provide a direct mail-in visa service. When using eChinaVisa, the customer ships to the independent service and an agent follows the responsible office’s submission process.

Before shipping

Packaging and carrier safeguards

Use a rigid or protective inner sleeve and a durable, tamper-evident outer mailer. Do not visibly label the package “passport.” Choose end-to-end tracking and retain the carrier receipt. Signature or controlled delivery can reduce unattended drop-off risk when it fits the destination and carrier service.

Document the handoff

Save the tracking number and shipping date in the case record. Do not treat a carrier’s “label created” event as physical acceptance. Monitor the first carrier scan, delivery event and any exception. Contact support promptly if delivery stops progressing.

During processing

The passport may be held while the responsible Chinese office reviews the application. Estimated dates can change. eChinaVisa tracks the service workflow, but neither the carrier nor eChinaVisa controls consular adjudication or issuance timing.

Return and receipt

Before return, the passport is matched to the case and visible visa details are checked. Return shipping uses the confirmed destination and tracking. Upon receipt, inspect the package, passport condition and visa name, passport number, validity, entries and duration of stay immediately.

If a shipment is delayed or damaged

Preserve the packaging, screenshots, tracking history and receipt. Notify eChinaVisa and the carrier quickly so the correct trace or claim process can begin. If a passport is genuinely lost, the issuing passport authority—not a visa agency—controls replacement, and travel plans may need to change.
